Specifications include, but are not limited to: a. Contractor shall translate the Non-English appeals submitted by the OOA. b. Translate Non-English appeals to English appeals. c. Contractor shall provide the translated appeals on a word document and return via email to an established email address; OOATranslationService@cdcr.ca.gov, cc’ing Summer.Sandoval@cdcr.ca.gov. d. Contractor shall label the email’s subject as “Translation Contractor Response”. e. Contractor shall translate each appeal on its own word document and shall be labeled with the Inmate’s Last Name, CDCR Number and OGT Log Number. The Naming Convention of the document shall be “Last Name CDCR Number OGT Log Number (MonthDateYear)”. The OGT log number is located on the appeal. f. Contractor shall provide the translated appeal within 48 Business hours of receipt of the non-English appeals. g. Contractor shall identify any unknown non-English words and leave the word untranslated. A footnote shall be made on the word document of the unknown non-English word. h. Contractor shall identify a designated Liaison between the OOA and the Contractor as well as one back-up Liaison. A back-up Liaison is needed in case the designated Liaison is on vacation or calls out sick. i. Contractor shall establish the appropriate email to submit the non-English appeals to and the correct back-up liaison to (as described in item (h)) “cc” on the email; OOATranslationServices@cdcr.ca.gov. j. Contractor shall notify the OOA, if the appeal(s) will not be returned within 48 Business hours in translation format. i. Monday- Friday; 8:00-5:00 pm, excluding State and Federal Holidays k. Contractor shall not charge the OOA if any appeal cannot be translated within 48 hours of receipt of the appeal or if the appeal is returned translated after 72 hours of receipt and without notifying the Office of Appeals of the delay. If the appeal cannot be translated due to illegible writing by the appellant there will be no charge.
