The contractor shall perform all Services described in this section and all obligations set forth in
the draft contract (Attachment A).
The contractor will:
The City contracts graphic design services on a part-time basis to complete specific projects (an
estimated 100 total of various sizes and types) throughout the year. The typical turn-around time
for a project is two weeks, excluding printing from concept to completion. As the City prioritizes
projects, the selected designer may be required to meet shorter turn-around times. The majority

of final collateral produced will have two final versions (English and Spanish). Spanish
translation will be provided to the designer by the City. The Scope of Services for this
Advertisement for Proposals includes:
General graphic design services for the City, including, but not limited to:
o Developing creative graphic concepts and brand identities for various programs
across multiple City departments.
o Creating unique fliers, posters, direct mail pieces, banners, brochures, templates,
t-shirts, tchotchkes, advertisements, signage, video slates, interactive PDFs (with
hyperlinks), logos and website/social media graphics – either as stand-alone
pieces or templates.
o Modifying/redesigning previously created collateral pieces and photo retouching.
o Making creative and useful recommendations for improvement.
Layout and design of bilingual City newsletter, which is published up to 13 times per
year, averaging 8-10 pages of content provided by the City in English and Spanish. A
templated document, respondents should estimate at least three rounds of layout and
content edits prior to providing print-ready and web-optimized PDF files to the City for
production. Specific design items include:
o Creating three to five advertisements per issue.
o Placing provided copy, photos, captions and headlines in English and Spanish as
provided by the city.
o Enhancing current template to meet City desires.
o Making creative and useful recommendations for improvement.
Initial layout and design of parks and recreation activity guide, which is published three
times annually. This bilingual guide – approximately 80 pages plus cover – has a branded
template that is used for program-specific promotions. Specific design items include:
o Placing provided copy, photos and text for entire guide. Respondents should
estimate at least three rounds of layout edits prior to native files provided to the
City for minor edits and production.
o Create three to five advertisements per issue.
o Enhance current template to meet City goals.
o Making creative and useful recommendations for improvement, including a
potential redesign to align with the city’s new recreation center opening in 2018.
Creation of City maps from exported GIS files so they are more aesthetically pleasing.
Refresh brand standards, logos and style sheets associated with the City as needed.
Coordination and tracking of all current projects and status on a weekly basis.
Provide all native files, including stock photos and graphics, and OpenType fonts as
agreed upon with the city. This may include the most current Adobe Creative Suite
formats and saved for use on a PC (as opposed to Mac).
All created materials must adhere to the City’s branding guidelines
Assist the City in properly “packaging” electronic materials for professional printers.

May attend high-level design meetings as requested
The contractor will provide all labor, tools, equipment, and materials to perform the services.
If images,graphics or other design elements need to be purchased for a design piece, the
contractor will work with the City’s communications manager to approve the purchased item and
then invoice the City.
The contractor will coordinate with other City contractors as necessary.
