Description

SCOPE OF SERVICES
The Contractor shall perform all Services described in this section and all obligations set forth in the draft contract (Attachment A).
The successful Contractor will provide a streamlined and efficient process for City departments to order Stationery, consistent with the City’s brand standards. The successful Contractor will be a customer service-oriented company that understands brand standards, provides cost-effective, high-quality options for printed materials, and provides a customer-centric web-based process to order, review and approve items in a timely manner.
Web-based Ordering System
Contractor shall provide a web-based ordering system for submitting and proofing Stationery product orders in accordance with the following requirements:
Multiple City users shall have the ability to log onto one or more order pages unique to the City.
The system shall be secure for City users and provide appropriate security measures consistent with the most current Internet protocols.
One a user is logged on, drop-down menus shall be available to locate and order predetermined quantities of specified items.
City users shall have the ability to enter data such as logo, names, addresses and telephone numbers into a form in a pre-determined format.
Users shall have the ability to review a PDF proof online, print a proof of the item to be ordered and make any necessary changes at no cost to users or the City.
Once an order is finalized, item(s) shall be delivered to the City within five (5) to ten (10) business days.
The system shall have the ability to bill the City on a monthly basis, identifying purchases by department.
The system shall have the ability to provide administrative reports on usage (site/page views) fulfillment and billing status, and product availability.
The system shall have a customer service component (email/telephone point of contact) and Contractor shall provide responses to inquiries within one business day.
The system shall be operational within thirty (30) days after contract award.
Contractor shall furnish all personnel and equipment required to perform the Services as required by the City. Contractor shall assume full responsibility for the acts of its personnel or subcontractors. The Contractor will provide all labor, tools, equipment, and materials to perform the services. The Contractor will coordinate with other City contractors as necessary.

Contractor shall have the ability to print the following items in the manner described, consistent
with the City’s Brand Standards.
Letterhead (City)
1. 70# Neenah Paper Environment Line – Ultra Bright White printed in two colors on the front in PMS 439 and PMS 5773 ink.
2. Logo size: 1.731 in.
3. Provide price for quantities of 3,000, 5,000 and 10,000.
4. Provide optional imprinting charges on letterhead shells.

1. 70# Neenah Paper Environment Line – Ultra Bright White printed in three colors on the front in PMS 439, PMS 5773 and PMS 7694 ink.

Proposals containing the information required by this RFP, in the format described below, must be received no later than 4:00 p.m. (MT) on Friday, June 29, 2018.
