Description

Through this Request for Proposal (RFP), the Purchasing Division in cooperation with all Departments and Offices of Douglas County Government, hereinafter referred to as the County, respectfully requests proposals from responsible authorized distributors with highly-qualified, factory-trained service technicians and equipment trainers for a lease plus cost-per-copy (one amount for all black & white copies and a second amount for all color copies) for approximately one-hundred and ten (110) multi-functional devices (MFD) to replace the machines that are currently in place. The number of MFD’s may increase or decrease based upon final selections.

The award of this RFP will be implemented in two phases. Phase I is for approximately eight-seven (87) multi-functional devices located in a variety of county-wide buildings; the current lease agreement for these machines will expire on 12/31/23. Phase II is for approximately twenty-three (23) multi-functional devices that are located at several Sheriff’s Office locations; the current lease agreement for these machines will expire on 5/31/24.

Please submit two (2) original hard-copies (both with an identical copy saved to a non-password protected flash drive) of your proposal response in a sealed envelope that is clearly marked with the Request for Proposal (RFP) information listed above. Mail or hand-carry all proposals to Douglas County Government, Finance Department, Purchasing Division, 100 Third Street, Suite 130, Castle Rock, Colorado 80104, prior to the proposal due date and time. Electronic and/or fax proposal responses will not be accepted. It is the sole responsibility of the respondent to see that their proposal response is received on time. Proposals will not be considered which are received after the time stated, and any proposals so received will be returned unopened. If closure of Douglas County buildings occurs on the proposal due date, proposals must then be delivered to the Purchasing Division on the following business day before 12 noon.
