MINES25013 - MINES25013 Content Management System RFP

The Colorado School of Mines seeks to redesign our primary website, mines.edu, along with associated subdomains supporting departments, programs, and research groups. This project includes selecting a Software-as-a-Service (“SaaS”) Content Management System (“CMS”) that aligns with Mines’ operational needs, supports scalable growth, and minimizes implementation effort through the use of a configuration versus customization approach (“Solution”). Offerors are expected to submit proposals outlining their approach to hosting, maintaining, and supporting the CMS, which includes providing functionality to support creating user-friendly templates complete with guardrails to prevent users from breaking branding and accessibility regulations, and allowing the centralized Communications and Marketing (“MarCom”) website team full control over design and functionality within the site.

In addition to the foundational tasks, the Solution must include provisions for a customizable program finder, integration with Canto for digital asset management, Artificial Intelligence (“AI”)-enhanced search capabilities, accessibility features aligned with Web Content Accessibility Guidelines (“WCAG”) standards, and complex workflow management for processes as well as other required features listed in this RFP. The CMS must also offer centralized control of global elements, support a searchable researcher network, allow design system integration with reusable components, and include comprehensive hosting, maintenance, and scalable AI technologies.  

Mines plans to partner with a 3rd party for design and implementation services and aims to begin the CMS implementation in July 2025, with the expectation of minimal disruption to the existing website. Offerors are invited to submit comprehensive proposals demonstrating their ability to meet the functional, technical and strategic requirements.
