3. General Scope of Services: 3.1. Prior to commencement of services, a detailed listing of all items to be sold and the respective pricing shall be submitted to the Parks and Recreation Director. Any menu changes must be approved in advance by the Parks and Recreation Director. 3.2. Menus must be displayed in the display board provided on the walls of the buildings. Laminated handout menus may be provided and kept in an orderly manner at the concession windows. 3.3. Menus should be clearly legible and include prices for all items. All menus should list all items available for sale and should not include any items unavailable on any given day. 3.4. Contractor is authorized to display signs advertising the concessions at designated areas within the park with prior approval of the Parks and Recreation Director. 3.5. During all hours of operation, Contractor must provide at least two hot food items. 3.6. All food and beverage service must be over the counter from the Baseball Field Concessions Facilities. Delivery service or mobile vending is strictly prohibited. 3.7. Contractor shall not serve customers any items contained in glass bottles, glass cups, or glass bowls. 3.8. Service of alcoholic beverages are strictly prohibited. 3.9. Contractor shall, upon request, provide persons in need with ice and Ziploc plastic bags on hand at all times for injuries which may occur in the park, for anyone who may have a need. 3.10. Contractor understands that the rights granted by this award are non-exclusive. Members of the public are permitted to bring food and drink for personal consumption to Frank Brown Park. 3.11. Contractor is obligated to purchase all beverage products (including fountain beverage ingredients) from the City’s exclusive beverage provider. The current vendor, Buffalo Rock has a Beverage Vending and Pouring Rights contract with the City through December 31, 2024. A copy of the Beverage Vending and Pouring Rights Agreement is available upon request. A solicitation for a new beverage vending and pouring rights contract is currently underway. The awarded Contractor for concessions services will be informed of the new contract holder. 3.12. Contractor shall not assign, transfer or sublet any part of their contract. 4. Concession Stand Facilities: 4.1. Contractor shall be responsible for maintaining clean, orderly, and inviting conditions throughout the Baseball Concession Facilities and surrounding services areas at all times. 4.2. City provided inventory is listed on Exhibit C. Contractor shall be responsible for acquisition, maintenance and replacement of all inventory and equipment not included in Exhibit C. 4.3. A grease trap will be required is the awarded Contractor elects to utilize deep friers or a grill. 4.4. Four keys to the concession stands will be checked out to the Contractor. Keys are City property and shall be returned to the City upon termination of the contract. Keys are not to be duplicated by the Contractor. Contractor will be charged a replacement fee of $250.00 per key requiring replacement. 4.5. The City reserves the right to enter the concession stands at any time for the purpose of inspection of equipment, insect control, fire prevention inspection, or similar services. 4.6. Contractor is permitted to utilize one (1) Contractor owned golf cart for concessions related purposes during the duration of the contract. The golf cart may be stored in the gravel parking area in the Parks Maintenance Yard. This location does not have shelter, and the City is not liable or responsible for any damages that may occur while parked in this area. 4.7. No delivery vehicles are allowed into the concession area for a period of one (1) hour prior to the start time of any scheduled game.
