A. Election Flyer Forms (see sample in Exhibit A). 1. Maximum Quantity: 300,000. a. The maximum quantity is an approximation. Prior to the commencement of work, the City will provide the actual quantity to be printed. b. The unit rate will be the total price for Election Flyer Forms divided by the quantity specified in RFQ-MAY-2500029. 2. Size: 8 ½ inches x 11 inches (overall size). 3. Paper: 20 or 28 lb. White. 4. Printing: Allowed on both sides of page, duplex printed. 5. Ink: Black color. 6. Composition: Forms must contain general information of election instructions. 7. List of Voter Addresses and Unique Passcode Data: a. The CITY will electronically transfer the data file to the CONTRACTOR. For security and confidentiality purposes, data furnished by the CITY shall not be “outsourced” to a subcontractor. Complete in-house processing must be adhered to. b. The CONTRACTOR shall print the individual voter’s address on the election flyer so that the voter’s address is visible through the window of the envelope specified in Item C below. (See front side of election flyer in Exhibit A and envelope in Exhibit C). c. The CONTRACTOR shall print the unique voter’s passcode on the election flyer so that the password is NOT visible through the window of the envelope specified in Item C below. B. Candidate Profile Forms (see sample in Exhibit B) 1. Maximum Quantity: 300,000. a. The maximum quantity is an approximation. Prior to the commencement of work, the City will provide the actual quantity to be printed. b. The unit rate will be the total price for Candidate Profile Forms divided by the quantity specified in RFQ-MAY-2500029. 2. Size: 8 ½ inches x 11 inches (overall size). 3. Paper: 20 or 28 lb. White. 4. Ink: Black color. 8. Printing: Allowed on both sides of page, duplex printed. C. Outgoing Window Envelopes, to hold Election and Candidate Forms (see sample in Exhibit C). 1. Maximum Quantity: 200,000. a. The maximum quantity is an approximation. The Contractor shall work with the City to utilize prior election window envelopes first. Prior to the commencement of work, the City will provide the actual quantity. b. The unit rate will be the total price for Outgoing Window Envelopes divided by the quantity specified in RFQ-MAY-2500029. 2. Size: 10 (approximately 4 1/8 inches x 9 ½ inches overall size). 3. Paper: 24 lb. White. 4. Ink: Black color. 5. Window Position and Size: Window position and size to be approved by the City. 6. Printing: See Exhibit C. “Return service requested” or similar statement shall NOT be printed on the envelopes.
