Specifications include, but are not limited to: 1. Assessment and Documentation Services Contractor to provide all travel and jobsite labor, equipment, tools, and materials necessary to provide an annual test of the existing operations and performance characteristics of the equipment. Inspections in the form of routine visual inspections and physical testing will be performed to ensure the system(s) are in the proper operating condition and to identify any impending system(s) failures. The following shall be provided at each scheduled maintenance interval. a. Contractor shall perform a visual inspection of the systems and components. b. Contractor shall test the system(s) and components included in the Agreement. c. Contractor shall provide a digital report (from each visit), logging all visual inspections and physical check/test performed. The report shall include, at a minimum, the following information: i. the date and time of the inspection ii. the outdoor temperature at time of inspection iii. a listing of the worker who provided service and any others present iv. observations on the condition of the equipment or systems v. recommended action(s),if any 1. CSD99 staff shall be notified immediately upon finding emergency actions that should be done or fixed immediately. Upon the completion of the report findings shall be presented and reviewed with CSD99. Reports shall be issued to CSD99 within one (1) business day of the completion of work on site. The Contractor will be required to schedule the annual operational assessment services during times that school is not in session. 2. Maintenance Services Reference Material Appendix A – Building HVAC equipment inventory organized by building. Appendix B – Centralized list of maintenance services for all equipment types. Contractor to provide all travel and jobsite labor, equipment, tools, and materials necessary to preform the maintenance services as dictated by equipment manufacturer guidelines and as described in ‘Appendix B’. Refer to ‘Appendix A’ for applicable equipment types at each facility. The scope of work includes all consumable materials and supplies such as oil, lubricants, belts, gaskets, sheaves, cleaning supplies, tools and equipment necessary to perform the maintenance services. The maintenance items dictated in ‘Appendix B’ shall be performed at the equipment manufacturer’s recommended intervals for all equipment inventoried in ‘Appendix A’, for the duration of the contract. Where no manufacturer recommended service interval is available, maintenance items shall be performed in accordance with the frequency column in ‘Appendix B’. a. Contractor shall perform the activities which are essential to ensure the system’s operational efficiency, durability, reliability and safety, performance, on an ongoing basis as outlined in ‘Appendix B’ with little or no equipment downtime. b. Contractor shall maintain all equipment (plant and terminal) in each building. Refer to ‘Appendix A’ c. Contractor to perform annual startup for seasonal equipment. i. At the beginning of each cooling season, provide all necessary labor and materials to prepare the system(s) for cooling operation. Ensure stable start and proper operation. d. Contractor to perform winterization maintenance for seasonal equipment in heating season. For equipment that must be winterized, specifically chillers, cooling towers, and select terminal equipment, shutdowns shall be performed by the Contractor including all labor and materials. e. Contractor shall provide a digital report (from each visit), logging all visual inspections and physical check/test performed.
