Specifications include, but are not limited to: The City’s awarded Property Management firm will be expected to provide the following services and support: 1. Develop a complete management strategy, including advertising, lease development and administration, revenue collection, cost accounting, report preparation, and establishing and maintaining records. Required information and forms shall include, but are not limited to a proposed operating budget, monthly operating reports including all prime and sub-contractor activity, cash handling and reporting procedures, and an annual independent audit. The City's authorized representatives shall have access to all electronic and hard data verifying costs of work upon prior notice to the manager. 2. Collect all moneys owed pursuant to the leases. This shall include a plan for collecting and monitoring all funds received including but not limited to separate reporting procedures for all revenues received, establishing reserve accounts for security deposits, etc. 3. Provide all routine maintenance services not included as responsibilities of the tenants. This will include but not be limited to trash collection, snow removal, minor repairs, and tenant space preparation. In the event that full-time employees of the firm are to perform routine maintenance services on the Property, said employees should be identified in the proposal by job title. 4. Negotiate on behalf of the City lease renewals and extensions and procure new tenants if necessary. This will require a marketing strategy including market analysis, advertising, lease development, etc. 5. Provide reports on marketing activities, showings, offers, and other pertinent information to designated City staff as necessary
