Specifications include, but are not limited to: event venue to host and cater a two-day training conference for staff on September 25th and 26th of 2024 (Or a possible alternative date; please refer to the attached exhibit). This event is estimated to have about 155 attendees per day. The number of attendees is an estimate only. This event requires a venue with at least 1 General Session Room and 3 Breakout Session Rooms. Breakfast and Lunch service is provided to all attendees, as well as two snack and refreshment breaks and all-day beverage service. The State does not guarantee a minimum number of meals.The contract prices shall not be adjusted if the number of attendees falls below the estimate. The event facility and parking must be within one-quarter (¼) mile of each other - Shuttle services are not allowed for this event. Pre-calculated parking cost in the venue is highly preferred- Meaning that the cost of the venue remains the same, regardless of whether parking is provided/used. The venue cost would remain the same if no parking were requested. Parking would come at no extra cost to the State or the Attendees. Discounted parking or validated parking would also be preferred if included in the venue cost is not applicable. If this is the case, please provide the current parking facility going rate and the discounted rate of parking that would be offered.
