1. Receive funds; create and manage accounts: Collect funds for reimbursable operating expenses Deposit all receipts and withdraw funds to pay expenses for operation 2. Provide necessary goods and services. Perform or contract for the performance of services normally associated with a facility of this type and size, including without limitations: a. Custodial services (see attached Custodial services requirements) b. Interior and exterior window cleaning twice a year (spring & fall) c. Maintain and repair building components, such as plumbing, HVAC, elevators with one certified staff member on site d. Other normal and customary Property Manager responsibilities, e.g. sweeping the parking lots and garage, parking lot snow removal, sidewalk snow and ice removal, grounds maintenance (plantings & lawn). 3. Provide consumable supplies: a. Cleaning supplies b. Normal and customary restroom consumable supplies 4. Pay expenses of operation. Receive and review invoices for goods and services procured, review and pay invoices. Whenever possible, take advantage of early payment and other trade discounts. 5. Prepare regular financial statements. Prepare and provide monthly and annual statements summarizing funds received and expenses incurred in managing the property. Statements will include a check register. 6. Maintain books and records. Maintain all financial, maintenance, and other records in readily accessible, and easily auditable formats in accordance with industry standards. 7. Compile and submit an annual budget for the operation and maintenance of facility, including a identification of any capital equipment needs. A draft budget will be submitted to the State’s Project Manager and State’s Authorized Representative in April of each contract year. 8. Annual review and report on taxes and assessments. Prepare and submit an annual report summarizing taxes and assessments paid during the current year and provide projection for future year. 9. Comply with legal requirements and industry standards. While providing Property Management services, comply with all applicable state, federal, and local laws. Perform all work in accordance with industry standards. The facility must, at all times, project a clean, safe, sanitary, and professional image. 10. Employment of personnel. Employees must pass a background security check and be bonded. Building Engineer must be able to respond on a 24 hour/7 day a week basis to meet the operational needs of dispatch functions located on building campus.
