Specifications include, but are not limited to: 1. The Awarded Bidder shall provide breakfast and/or lunch (“Meals”) at the participating program sites listed in Attachment A. The City reserves the right to award contracts to multiple vendors the City deems it necessary. 2. Daily Meal counts will vary based on need (daily minimums approximately 135 with a daily maximum of approximately 6000). Estimated Quantities: • Breakfast Meals – Estimated meals of 26,990 monthly/6,750 weekly’. These amounts will increase if program expands the amount of sites served. • Lunch Meals – Estimated meals of 61,620 monthly/15,220 weekly. These amounts will increase if program expands the amount of sites served. a. Locations may be subject to change based on needs assessment. b. The Awarded Bidder shall deliver Meals to each site within thirty (30) minutes of scheduled serving times. Serving times may vary by site as listed in Attachment A and are subject to change with a 24 hour written notice from the City to the Awarded Bidder via email. 4. The Awarded Bidder shall deliver Meals to each site in vehicles specifically outfitted for food delivery with the capacity to keep the food sanitary and at appropriate temperatures as outlined in section A(5) of the Bid Specifications. Milk and other similar foods must be packed in ice or kept at appropriate temperatures. 5. The Awarded Bidder shall provide individually wrapped cold and/or hot meals. Cold foods must be delivered at a temperature below 41 degrees Fahrenheit. Hot meals must be delivered at a temperature of at least 115 degrees Fahrenheit. Food shall not be re-warmed in any instance. 6. Meals shall be prepared and delivered fresh daily. Frozen/heat and serve meals are not acceptable in any instance. 7. Meals shall be delivered in a sanitary, insulated container mobile cart which will keep the Meals at temperatures that meet or exceed USDA Requirements for SFSP as found at: https://www.ecfr.gov/current/title-7/subtitle-B/chapter-II/subchapter-A/part225/subpart-C/section-225.16 8. The Awarded Bidder shall deliver the Meals to the designated City staff member at the designated serving area on-site. The Awarded Bidder shall not leave Meals unattended on the premises if not received by a City staff member. 9. The Awarded Bidder shall provide disposable bowls, serving dishes, utensils and napkins as appropriate for each Meal served. 10. The Awarded Bidder shall bill only for actual number of Meals delivered. Eligible, billable Meals are tracked by the SFSP through daily tracking forms at all Meal sites. The City will not pay for damaged meals, incomplete meals, meals delivered in excess of what is ordered and meals not delivered in a timely manner. Meal counts needed for the next serving date shall be called in by the City Kitchen Manager into the Awarded Bidder daily by each site. Meal counts may vary based on need.
