NOTICE TO BIDDERS
NOTICE IS HEREBY GIVEN, that the County of Ontario (the “County”), will receive sealed bids for
Chiller Replacement Project (B19058). Such sealed bids must be filed with the Ontario County
Purchasing Director, 20 Ontario Street, Canandaigua, New York 14424, PRIOR TO 3:00 PM,
September 30, 2019, at which time said bids will be publicly opened and read.
There will be a prebid meeting held on September 18, 2019 at 10:30 AM. Said meeting will be held at
the County Municipal Building Room 229 – 20 Ontario St, Canandaigua, New York. All interested
parties are strongly urged to attend. This will be the only opportunity to view the sites.
Bid forms and specifications may be obtained at the office of the Ontario County Purchasing
Director at the above mentioned address only (Telephone: 585-396-4442). For a refundable deposit
of $50.00 for the first set only (U.S. FUNDS) specifications and plans will be available electronically or
hard copy. Bidders requesting additional sets of plans must submit a separate nonrefundable check for
$50.00 per each additional set. Checks shall be made payable to the Ontario County Treasurer. No Bidder
shall receive specifications prior to receipt of a deposit by the Purchasing Department. Bidders requesting
receipt by other than U.S. Mail shall be responsible for making such arrangements and all associated
costs.
Each bid shall include a bid bond in the amount of 5% of the total bid offered by the vendor. Said bid
bond shall be in the form of a certified check, bond or irrevocable line of credit and is required to be
included with the bid submittal.
NOTE: The County shall not be held responsible for the completeness or accuracy of any bid documents received by a
vendor that were not directly issued to that vendor by the County Purchasing Department. Any vendor submitting a bid
based on incomplete or inaccurate information resulting from documentation received from any third party, shall not have
cause for relief from award or completion of a contract in accordance with the official documents on file with the County
Purchasing Department.
It is HIGHLY suggested that all vendors interested in participating in this bid, contact the County Purchasing
Department directly at the above address or telephone number to assure they have received the most accurate and up
to date material concerning this contract.
The County does not offer or supply anyone the list of people that have obtained a copy of these bid specifications or
cost estimates for the project prior to the opening of the bid. NO EXCEPTIONS ARE MADE TO THIS POLICY.
The County reserves the right to reject any or all bids.

Ontario County Purchasing
Work includes replacement of chillers, towers and ancillary equipment at three building
locations. There is also a small roof replacement project at one location. (Chillers to remain
operational until 10-18-19. Construction work that does not adversely affect the chillers
operation can be performed before this date. New chillers to be operational by 3/15/2020.)
Work specific to each building location includes:
Hopewell Building:
1. Removal of a water-cooled chiller, cooling tower, associated pumps, associated electrical
power and ancillary equipment. (All mechanical equipment is located in the building's
second floor mechanical room.)
2. Replacement chilled water system to include a {140 Ton) air-cooled chiller, located on a
pad at grade, with a remote evaporator located in the second floor mechanical room.
Work to include two new chilled water pumps, refrigerant piping and electrical work.
Refrigerant piping and power lines to the chiller are to be supported from the building's
exterior wall and located within a metal enclosure.
Courthouse Building:
1. Removal of five (40 Ton) chillers, main circulation pump, associated refrigerant piping
and accessories located in the building's basement mechanical room. Removals also to
include the removal of five air-cooled condensing units located at grade; associated
refrigerant piping back to pipe trench and electrical power to all equipment.
2. Replacement chilled water system to include a (170 Ton) air-cooled chiller, located at
grade, at same location of removed air-cooled condensing units. Chilled water from the
chiller shall be piped underground to two new pumps, located in the building's basement
mechanical room, where it will be distributed through the existing building piping
system. Additional work to include site work, a chiller screen wall, ancillary equipment
and electrical work.
Municipal Building:
1. Removal of a water-cooled chiller, (located in the buildings penthouse mechanical room),
removal of the cooling tower and its structural support, (located on the roof adjacent the
penthouse), and removal of associated pumps, piping, electrical power and ancillary
equipment. The roof adjacent to the penthouse, and where the cooling tower is located, is
also to be removed and replaced, along with the mechanical room penthouse roof and a
small roof area nearby.
2. Replacement chiller to be a 160-ton air-cooled chiller, located on new steel platform on
the new roof, with a remote evaporator located in the penthouse mechanical room. Work
to include two new chilled water pumps, refrigerant and chilled water piping and
electrical work.
