The City of Raleigh has a fleet of vehicles and equipment including many different makes and models. Many of these manufacturers use aluminum construction. Our pickups may also be equipped with beds to suit different departmental needs. These may include but not be limited to work bodies, flat beds, or specialty beds from manufacturers such as Knapheide or Reading. Selected vendors will be expected to complete all repairs necessary to restore the asset to its pre-damage condition in terms of form, fit, finish, appearance, durability, functionality, safety, and value. All such repairs will be completed in accordance with or shall exceed industry standards in effect at the time of repair. The City’s Fleet Management will arrange delivery and pickup of vehicles from the proposer’s facility. Timely repairs are critical in returning the City’s vehicles and equipment to service. If the workload of the Proposer is such that timeliness is not possible the City reserves the right to award to another vendor. Fleet Manager or their designee may also negotiate with the successful proposer on a timeline that meets the needs of both parties. Being selected as an on-call vendor does not guarantee that the City will issue any work orders to a vendor. The City intends to evaluate the proposals and develop a list of providers to perform the necessary work on an as-needed basis. Selected vendors will be asked to enter into a contract with the City to provide on-call services identified, at the shop labor rate bid, on a rotational basis determined by availability. If work is needed, the City will issue a purchase order to whom the City deems to do the work at the City’s sole discretion. Vendor must maintain a secure storage area for all City of Raleighowned vehicles. The Vendor will assume full liability and responsibility for all vehicles and contents (including radios and other standard or installed equipment) placed in its custody by the City under this contract. All repairs must meet or exceed OEM specifications. All police vehicles require OEM parts, aftermarket is not acceptable. All parts will be new and unused. If non-OEM parts are to be used, approval will be obtained from the fleet manager or their designee. Any hidden damage found on the asset that was not initially quoted in the original estimate must be approved by the Fleet Manager or their completing the repair.
