Specifications include, but are not limited to: The Landscape Management Division is seeking a consultant to work with staff and provide direct support to accomplish the following: • Provide City of Trees branded materials • Develop a communication plan for executing campaigns as appropriate • Work with various Landscape Management staff to gather content and shepherd drafts through the review processes. • Improve customer knowledge of City of Trees and Landscape Management services through the execution of campaigns • Develop creative content for a variety of messages and within applicable budget • Develop a consistent look and feel that gives cohesion to a variety of messages on a variety of media channels; The selected firm(s) shall be able to provide the following services: • Project management - Comprehensive project management of campaigns/communications plans and all components; develop branding ideas, strategies, and messaging support; administrative services including client presentations, coordination of meetings, and reporting as requested; creative strategy and planning services including research and strategic plan development, creative direction, social media strategy, and editorial calendar management • Vendor coordination - Work with all the vendors and parties needed to execute a successful campaign. This could include partners, print shops, bill vendors, promotional item vendors, media negotiations, etc. • Graphic design services, both print and digital format – Ability to create graphics (including illustrated imagery, infographics and other custom art work), collateral material, photographic imagery, and videos to advance the project objectives, including concept development. Graphic design services include, but are not limited to traditional print (brochures, flyers, factsheets, postcards, billing inserts, posters, and reports); out-of-home print (including various signage, billboards, and vehicle wraps); exhibition content (including table-top displays and trade show exhibits); and other promotional material • Video production and editing services – concept development including audience analysis, established outcomes, and concept treatments; pre-production including script writing, storyboarding, animation design, and securing talent; production and post-production including graphic design, video retouching, motion graphics, voiceover, color correction, sound design, and encoding versions for different display formats • Copy writing - Creation of original copy (text) for web use, social media, blog posts, PowerPoint presentations, talking points/messaging for various audiences for internal City use and external use; editing • Social media and communication – Build messaging that can be used in various media channels to target audiences, drive awareness, and create an emotional connection and education on key actions; graphics/campaign creation for multiple platforms and possible ad development and influencer coordination across multiple channels; creative strategy and design; online content creation (including web and social media); support ongoing communication efforts (i.e., blog posts, monthly newsletters, etc.) as needed; support ongoing social media measurement, reporting, and analysis • Reporting and account management – Create metrics and benchmarks prior to the start of the project so success can be tracked as the project unfolds. Prepare cost schedules and project sheets for expenditures and obtain approval of all expenditures regarding authorized advertising by submitting preproduction estimates. Provide regular status reports as agreed upon, to provide timely updates regarding the progress on all projects. It should be noted that strategic plans, creative strategies, and other strategic input will come in large part from Landscape Management representatives in coordination with the selected firm(s). In addition, the firm(s) should be able to recommend strategies to expand the impact of marketing/public relations campaigns allowing for the broadest possible exposure to the target audience within the available budget. The firm(s) selected under this RFP will provide creative services to support these campaigns. The firm(s) will be required to collaborate monthly with the City to ensure continuity within the campaigns and activities being implemented.
