6.3. Deliverables (service levels, reporting, milestones, etc.) Vendor shall perform the following: • Catalog Website Mecklenburg County requires a dedicated e-commerce website developed by the selected vendor to function as a “web store” where County employees can purchase branded Mecklenburg County apparel. The Mecklenburg County Public Information marketing/branding team will pre-approve all items available through the store and approve all pricing. • Brand Compliance All branded items available through the web store must follow the established Mecklenburg County brand guidelines. Those guidelines will be shared with the selected vendor, and if needed, a meeting with the vendor will be coordinated to review the guidelines, how to use the County seal, etc. • Set-Up Fees The selected vendor may charge a one-time set-up fee for any new product added to the inventory. The County will provide the required art files for all products. A Mecklenburg County marketing/branding team member must approve the final proofs of the artwork and placement on apparel before production. • Property Rights All copy (taglines, slogans or themes), designs, photography, artwork, graphic design, print, etc. prepared by or for the County is the sole property of Mecklenburg County. Occasionally, the County will request the original, native layered art files from the vendor. The art files should be provided to the County within three (s) business days. • Promotiona/Branded Items The selected vendor will agree to provide promotional/branded items meeting the following requirements: Offer a wide range of brand names, materials, sizing, colors, etc. Provide “order on demand” without the need for large quantity inventory. Ability to provide all relevant ordering information including, but not limited to: o Lead or production time status o Large Quantity Pricing o Imprint Area and Methods (screenprint, embroidery, etc.) o Packaging o Ability to provide a sample of requested items before new product setup, when requested by the County. o Ability to provide a visualization of the product with provided artwork. (Digital or physical proof.) o Arrange for a Mecklenburg County marketing/branding team member to review and approve proofs of all new items. Page 9 o Provide information on a return policy. For example, custom items will be delivered as approved, without defects. Customized orders will receive a free virtual proof; therefore, returns will not be accepted once the proof is approved. o Provide the County with monthly reports to show the amount spent, items purchased by which department and employee, items not purchased, most/least purchased items, etc., to allow the County to make informed decisions about future apparel offerings.
