Conference Size: 1,400 (estimate) This 5 year contract, shall be for the Bureau of Workers’ Compensation (BWC) to procure a meeting facility to provide meeting space, food, and vendor space for 1,400 members of Pennsylvania’s workers’ compensation community to conduct the Workers' Compensation Conference. The conference will take place on these dates: ● May 31 - June 2, 2028 ● May 30 - June 1, 2029 ● May 29 - May 31, 2030 ● May 28 - May 30, 2031 ● May 26 - May 28, 2032 The contracted facility will be notified of the exact count of attendees in writing 5 working days prior to first date of conference. The proposed format for the meeting is subject to change by BWC so number and/or size of meeting rooms needed may be altered. The Commonwealth of Pennsylvania will only pay for the exact count of attendees. The Commonwealth is to be invoiced after the conference is completed. The invoice must contain the following information: company’s name, address, phone number, federal identification number, purchase order number, conference title, dates of conference, and total (broken out line for line per the purchase order). The Commonwealth reserves the right to adjust quantities to this statement of work three (3) months prior to the event. General Requirements: All meals/beverages to include gratuity. Ample parking for attendees. No less than 500 overnight accommodations for attendees per night.
