Sending library notices to patrons via USPS mail, email, text/SMS message, and automated phone message, according to the patrons’ specified contact preference. Notice files are produced by batch programs that run nightly in the library’s data center. The files are then emailed to the vendor for processing. Each file includes the date, the library’s mailing address, the patron’s name, the patron’s full mailing address, phone number (if needed for phone/text/SMS communication), email address (if needed for email communication), a salutation, and the message body. Notices must be sent in a timely fashion so that patrons have adequate time to respond. For example, hold pickup notices must be sent to patrons quickly so that patrons have enough time to visit the Library and retrieve their materials. It is the library’s expectation that files will be processed by the vendor within 24 hours of receiving them.
