Specifications include, but are not limited to: 3.1 Administration of 250th Commission The Management Firm shall provide on-going administration and management of the 250th Commission. This administration shall include scheduling, administration, and technological support of commission meetings, which must be held quarterly and may, at times, occur as frequently as monthly; establishment and distribution of commission meeting agendas working with the chair and executive committee; provision of administrative assistance to the Commission’s six committees, as requested by the individual committees; management of the executive committee meetings; preparation of meeting minutes; keeping of recordsin consultation with CCPC; and other activities needed for the smooth functioning of a volunteer board. 3.2 Support of Communications and Outreach The Management Firm shall provide administrative assistance to the Commission, including the Executive Committee, the Communications and Marketing Committee, and other committees as determined by the Commission and the committees, in support of their communications and outreach efforts, which might include a newsletter prepared by the Communications & Marketing Committee, outreach campaigns, social media outreach, and other communications and outreach efforts, provided such efforts comply with county policies and general oversight. 3.3 Management of Events The Management Firm shall manage events for the county’s celebration of history, with at least one event (or set of events) in the years 2023, 2024, 2025, and 2027, and with a series of events in 2026. Generally, events will be relatively small in scale; commemorative in nature; focused on local officials, citizens, and businesses; potentially done in coordination with the county or local municipalities; and short in duration. Events will be identified by members of the 250th Commission and the Program & Event Committee and will be coordinated by the Management Firm. More events may end up being scheduled as the 250th Commission determines the need for events. In coordination with the 250th Commission, the Management Firm shall provide administrative support for events and will receive, as needed, support from the county as a whole, the professional staff of the heritage preservation organizations in the county, and the volunteers of the 250th Commission.
