Specifications include, but are not limited to: 1. The Vendor shall manage, operate and maintain or cause to be maintained all HVAC & Cooling Tower equipment in the buildings to ensure efficiency, long-term reliability and conservation of capital investment. Prudent maintenance must be provided in accordance with industry standards, equipment manufacturers’ instructions, warranty requirements, and the operating and maintenance manuals to ensure manufacturers instructions, warranty requirements, and the operating and maintenance manuals to ensure manufacturer’s warranties remain in effect. Provisions shall be made for enforcing existing equipment warranties and guarantees, and for maintaining all warranties in new equipment purchased after the effective date of the services agreement. 2. Vendor is to report to Dona Ana County Facilities & Parks Manager upon arrival to announce presence and to coordinate any equipment shutdown that may be required in the performance of services. Upon leaving site, the vendor shall advise the Facilities & Parks Manager of all findings, obtain a signature on the vendor work order and provide the Manager with a copy of any inspection reports or work orders for services performed. Inspection reports shall include weekly inspections and reports recommendations for improvements or needed repairs. A formal written report to the Manager will follow within two weeks of the service call. 3. Vendor is responsible for evaluating site-specific equipment in order to estimate time needed to service equipment in each facility. Some deviation may occur from unit to unit as to individual unit requirements and should be reflected as part of the base proposal price for routine preventative maintenance services. Vendor is to inspect the buildings and the HVAC equipment to be serviced, and include any special recommendations for nonroutine maintenance or equipment upgrade or replacement in the Proposal. The vendor shall include in his proposal, a proposed “Work Schedule”, reflecting monthly site visits per year, to each location. The vendor will indicate the timing of maintenance tasks as they apply to each site and relevant HVAC equipment. The services to be furnished by the vendor may be revised at any time by written execution of a change order. To arrange a time to inspect the buildings contract Victor Uranga at 575-525-6189. 4. Vendor shall furnish all supplies, materials and equipment necessary for the performance of work under this RFP. Dona Ana County reserves the right to approve all materials used. Normal routine replacement parts and material, such as belts, filters, lubricants, coil cleaner, shop rags, special tools, etc. are to be considered included with this proposal. 5. Vendor shall submit the vendor price sheet provided as part of this proposal, indicating the service price for routine, scheduled services provided under this RFP. In addition to the scheduled services, the vendor will be required to provide non-routine and emergency HVAC repair service to Dona Ana County facilities upon request. Authorization to proceed for non-emergency, non-routine HVAC service will be by signed work order.
