Specifications include, but are not limited to: The University of Wisconsin-Madison is requesting proposals for a time clock system that is already fully integrated with Workday Financial Management and Human Capital Management (HCM). The University of Wisconsin-Madison, hereinafter referred to as the “University”, through its Purchasing Services Department, hereinafter referred to as “Purchasing”, on behalf of the Office of the Vice Chancellor for Finance and Administration, hereinafter referred to as “Department”, requests proposals for the purchase of a Workday compatible time clock system. The University is in the process of implementing Workday as its new Enterprise Resource Planning (ERP) system and is seeking a time clock system which is already fully integrated with Workday Financial Management and Human Capital Management (HCM). The University would like to have a contract in place by September 2023 for testing purposes and for production implementation to begin on July 1, 2024. The Go-Live date for the HCM module is July 1, 2024. University campuses will be maintaining their current time clock systems until the Go-Live date but will need to have the new time clock system implemented in fall 2023 for testing purposes. Delivery of orders shall be made to University departments five days per week, Monday through Friday, during normal University business hours. 4.5.1 Ability to enter time worked, including all absence-related time entries. Work schedules, available time off, and sick leave information will not be available through the time clock system. 4.5.2 Ability for employees to view historical punches at clock, including their hours worked. Describe how this is possible if the punch is modified in Workday. 4.5.3 Allow employees to choose from multiple jobs at the clock when entering time. 4.5.4 Allow for card/badge swiping or proximity readers for high-volume users. 4.5.5 Integration via application programming interfaces (API) with Workday Financial Management functions and Human Capital Management functions. Please include the data elements of the APIs being used. 4.5.6 Utilizes APIs to send employee demographic and basic job information to the time clocks on a customer-defined frequency. 4.5.7 Utilizes APIs to send all Workday values for worktags/paycodes to be used for time entry, including but limited to, Cost Center, Projects, Phases, Tasks, custom worktags/paycodes. 4.5.8 Ability to restrict access to the clock by location and the ability to use any clock in a facility or complex of buildings (i.e., use of multiple accesses). 4.5.9 Synchronize time entries from the clock with Workday Time Tracking at a customer-defined frequency; supports auto syncing with Workday. 4.5.10 Accommodate day-light savings time changes automatically. 4.5.11 Multiple language support at clock, including but not limited to, Spanish and ideally Chinese, Hmong, Tibetan, and Nepalese.
