Specifications include, but are not limited to: The Shorewood Today magazine is a publication that communicates news, events and featured articles about people, organizations, and businesses in the Shorewood community. This proposal is inquiring about production and design services for the magazine. Task 1 Generate Article Ideas A.) Reach out to each community partner to ask them to begin brainstorming article ideas. B.) Setup time for community partners to meet with contractor to share article ideas. C.) Community partners are responsible for the content of the articles. Task 2 Design Magazine Layout A.) After meeting with community partners about article ideas, put together design layout for magazine through Basecamp (online account). B.) Incorporate photographs and computer graphic images to improve overall appearance. The contractor will need to notify the community partners which individuals will be performing these particular services. Using an established relationship with the current photographer, this RFP calls for the selected firm to identify a graphic designer for their team. It is required for any photographs taken of children younger than 18 years of age to have a photo waiver completed. C.) Reserve space for advertisements and work with businesses to receive their advertising images. Businesses are responsible for designing their graphic ad content. D.) Update online design layout for partners to see and be informed. E.) Incorporate all content from each community partner. Task 3 Advertising A.) Reach out to local businesses and community groups to inquire about advertising in the magazine. B.) Utilize agreed upon advertising plan (as outlined in the proposal) to coordinate advertising activities. C.) Assure agreed upon ratio of advertising to editorial content is met. D.) Have identified process on where and how advertisements will be placed in the magazine. E.) Work with Village’s Finance Department on the collection and payment of advertising dollars. F.) Put together a quarterly advertising report – which includes metrics like advertising/content ratio, revenue collected through advertising, types of ads sold, etc. – to provide to all community partners. G.) Must meet quarterly and annual advertising goals outlined by community partners. Service agreement will outline what happens if goals are not met or significantly exceeded. Task 4 Proofreading and Writing A.) Proofread articles and edit magazine design layout until content is ready for the printers. B.) Prior to going to the printers, print off a copy of the magazine or send an electronic copy for the community partners to also review a physical copy of the design layout and articles submitted. C.) While majority of the content is completed by the partners, there may be some content not directly involving any of the five partners. In these scenarios, the partners may ask the contractor to help with the content of such featured articles. Contractor would help put together content for such pieces if requested by all partners.
