Specifications include, but are not limited to: Two (2) auctioneers at minimum and three (3) preferred, Three (3) bid takers are required for all sales. If three (3) auctioneers are present, one (1) of the auctioneers may substitute as one of the bid takers. Ability to auction two rings simultaneously, should the state dictate prior to the sale. Will accomplish all sale advertising of the auctions. Two (2) staff members to process title work and bills of sale. Recording Device. Provide and utilize an adequate and appropriate audio recording device to record the auction event. The recording will be available to use to resolve any disputes, misunderstandings, or confusion resulting from the sale of any item. Public Address System: Provide and utilize an adequate and appropriate public address system in a large non-acoustical building and/or outdoor lot, as necessary. At least two (2) clerking staff to perform clerking Services, to include the following: A list of the auction buyers, their addresses, and the purchase price for each sale item. Original copies of clerking sheets to the BHRA on the day of sale. Settlement Sheet, showing gross sales total, auctioneer's commission, and net total. Food Service Vendor. The awarded contractor is required to coordinate a licensed food service vendor for the live auctions, except for the Fort Pierre location. The BHRA will not participate in concession sales or profits. Match customers titled purchases to the folders containing titles, Seller’s Report of Sale, Bills of Sale, Disclosures Statement signatures. Clerk items as specific as possible (limited describing like following example: “choice in pile”) Unclaimed sale items: All items must be retrieved by bidders on the day of the sale, unless prior approval is obtained. The auction company shall be liable to the State in the dollar amount of any items sold but not paid for by successful bidder(s). Any such items shall be the property of the auction company.
