Specifications include, but are not limited to: 2.1.Quantity: Approximately 100-300 cords of log length wood delivered per year. 2.1.1.It is anticipated that due to the current volume of inventory on-hand it is unlikely this facility will need to order additional wood prior to Spring 2024. 2.2.Size: 2.2.1.Length – estimated length of 16 feet long. 2.2.2. Diameter – not to exceed 14 inches. 2.3.Species: Hardwoods including beech (sugar or soft), any maple, ash, cherry, any birch, hophornbeam, butternut, and others as approved. No softwoods, no poplar, no waste lumber, no treated wood or painted wood. 2.4.Condition: Green wood. 2.5.Locations: Northeast Correctional Complex, 1270 US Route 5, St. Johnsbury, VT 05819 2.6.Delivery Time: Wood is to be delivered to the designated area at the Contractor’s expense in loads of up to 10 – 15 cords. Supplier is to unload wood without assistance unless otherwise agreed to. Do not deliver wood in the dark. Deliver wood between 8:00 AM and 3:00 PM Monday through Friday. Delivery date and times are to be approved by the facility prior to delivery. 2.7.Delivery Slips: The Contractor is required to leave a weight slip to verify delivery. The Contractor is required to obtain a signature from a Department of Corrections representative. 2.8.Criminal Background Check: All vendors and staff who will be entering a correctional facility to provide services included in this RFP, will be required to sign releases authorizing the Vermont Department of Corrections to conduct a check of any criminal record convictions as part of a security screening process. Working within a DOC facility is contingent on the results of the screening process 2.9.Emergent Situations: Access to and from the facilities may be denied or restricted during emergent situations. If the Contractor’s access to the facility is denied or delayed due to an emergency situation at the facility the state will extend the required delivery period for an equal amount of time. 2.10.Delivery Performance Measures: Penalties may be imposed on contractors that have continual late deliveries. These penalties may include but are not limited to cancellation of orders, request for discounted pricing, non-use of an offending contractor or cancellation of the contractor’s contract. The acceptable quality level for on time delivery will be 99%; the customer will report any deliveries that do not meet the contractor’s promised delivery date to the Office of Purchasing and Contracting. Contractor’s delivery performance will be reviewed in periodic contract review meetings between the state of Vermont and the contractor.
