Specifications include, but are not limited to: A. Implement a turn-key solution with the contractor providing all services and supplies for the printing and mailing of BWS water bills and customer documents. B. Provide 100% error free printing and mailing services for BWS water bills and other customer documents (bill inserts, letters, water quality reports, etc.). C. Provide customer service representatives and other authorized BWS and ENV personnel the capability to quickly and easily perform the following functions: 1. View an exact image of a BWS water bill or other customer document. 2. Able to create image (i.e. PDF) of BWS water bills or customer documents for special processing or review that can be withheld from the delivery process until customer service representative reviews, then make a decision to delete, archive (save only), or deliver (archive and mail). 3. View the status of printing and mailing services (status on receipt of file, work in process, etc.). 4. Track printing batches from receipt of transmitted files to USPS delivery receipt with date/times tracking, mail piece counts. D. Manage printing and mailing remotely over the Internet by providing web application/portal for customer service representatives to perform the tasks (i.e. Section 2.01 Item C) without directly contacting the Contractor. E. Reduce the costs of printing and mailing water bills and customer documents. F. Send E-mail bill ready notification for customers that sign up for paperless. G. Provide electronic bill presentment and store seven (7) years of BWS water bill and customer documents.
