Specifications include, but are not limited to: • Application portal for renting Expo Idaho buildings for interim events; • Mapping and floorplan options for both Expo staff and clients to see and change configurations, with pre-loaded venue/space set-ups for users to select equipment for the floorplans; • Booking software for multiple areas and vendors throughout the year which tracks the vendors and events weekly/daily, with an event calendar where scheduled events can be viewed by staff in a monthly view; • Vendor portal for required paperwork for upcoming events and payment/invoicing; • Interoperability with other software tools/systems to allow information sharing such as: Geographic Information System (GIS) products; • Managing personnel and resources for planned events; • Capability to be utilized during the Western Idaho Fair for bookings and management of all commercial vendors (approx. 300) and concessionaires (approx. 50), including mapping and floor planning; • Support multiple users with different authorization levels, depending on their job function at Expo Idaho/Western Idaho Fair; • Ongoing technical support and software maintenance for duration of subscription or contract; • Ability to request an event and to view event booking via mobile device; • Store records for comparison with previous years; • Track equipment needs/inventory for spaces, when requested items are delivered to the venue, and when delivered items are returned to inventory; • Accounting and financial management - ability to budget and track event revenue and expenses; • Ability to import and export files/reports to and from Microsoft Office
