Specifications include, but are not limited to: NELHA is seeking assistance in planning and providing logistics for a one-day event in Kailua Kona on October 19th for NELHA’s open house 50th anniversary. The CONTRACTOR shall provide, in a satisfactory and proper manner as determined by the STATE, all of the necessary requirements to assist in planning and logistics on the day of the event. The following work shall be performed: a. Develop and manage a timeline/action schedule in coordination with NELHA staff. b. Finalize a budget clearly listing items and costs in coordination with NELHA staff and based on the proposed budget created during the solicitation process. Obtain NELHA approval before proceeding with work listed in the budget. c. Maintain budget and track income and expenses. d. Determine specific needs for event. e. Arrange for radio advertisement and coordinate with NELHA social media efforts. f. Provide registration management for VIP event. Coordinate travel and transport for 2 dignitaries. g. Oversee all activities with regard to VIP venue management, VIP stage rental for Hale Iako, audiovisual, leis, program and other items related to the VIP event including coordinating food services with Palamanui Community College. The program is expected to include dignitaries, legislators, government officials, panels of subject matter experts and culturally relevant and appropriate entertainment which may include music, hula. h. Assist with programming and planning for the VIP event as well as other open house events in the 870-acre HOST Park. i. Oversee logistics for directing traffic in the park on the day of the vent. j.
