Specifications include, but are not limited to: Phase 1 • Engagement by a service provider that meets the requirements outlined in this solicitation in abilities and experience as well as delivery of the requirements specified for Phase 1. • Requirements gathering and validation of requirements. • Project management of the engagement with milestones, status, project schedule, etc. • Phased approach with a working prototype delivered in Phase 1 of the engagement – to be concluded no later than the 2024 calendar year. • A prototype with a representative amount of automation of forms, datasets, workflow, reporting and dashboards to enable further refinement of direction and requirements. The prototype also will validate the technology/solution to be delivered in Phase 2. Phase 2 • Engagement by a service provider that meets the requirements outlined in this solicitation in abilities and experience as well as delivery of the requirements specified for Phase 2. • Intake artifacts converted to dynamic electronic forms. • Data from the forms (both entered and calculated) stored in an easily accessible dataset that can be leveraged for dashboards, analytics, and reports. • A dynamic workflow that reflects the complex intake processes and provides transparency into the stage an initiative is within the workflow. • Data analysis and reporting: provide users the ability to create and analyze data within the system, including providing access to personal and team metric and workload dashboards. • Migration of existing data to the new environment. • Systems interfaces and integration: the ability for the system to seamlessly operate with established business solutions such as Microsoft Office 365 Applications Suite, DocuSign, and the recently implemented Project Online. • A production solution that meets the County’s specifications along with all documentation and training.
