Specifications include, but are not limited to: The purpose of this Request for Proposal (RFP) is to establish a multi-year contract to provide a hosting component to support ArchivesSpace. The electronic software will service Nashville Public Library's Special Collections Division, Equal Access, and Metropolitan Archives, for information, finding aids, and metadata management - which allows researchers to locate specific information or records within a repository. The selected offeror must provide hosting services for ArchivesSpace that include the following: data migration, secured cloud-based storage, software implementation, software updates, customer support, training, cross-communal communication, open source, and 24/7 accessibility to digital solutions. All the above ensures departments within Nashville Public Library have complete and primary archival connectivity and accessibility to multiple holdings to ensure usability and discoverability long-term. Hosting services provider must offer full capability to export MARC records from the archival collection management system (Carl.X) for inclusion in online public access catalog (OPAC). Hands-off service must be provided, meaning the hosting will not be provided onsite or by Metro ITS. The external host provider will be handling all services as needed and provided. The Nashville Public Library possesses collections that are sensitive, and are protected under the Library Bill of Rights and Freedom to Read. Sensitive information will be provided disclaimers by the uploader - whom will be responsible to detailing sensitive information for end-user engagement. Sensitive information can be described as historical information that may be deemed sensitive to modern viewers, such as Civil Rights, content related to KKK, etc. The Nashville Public Library employees will be the uploaders putting the archival information into ArchivesSpace. All disclaimers regarding sensitive information will be provided by each respective department - Special Collections, Metro Archives, and Equal Access.
