In order to be qualified for this award all SOFTWARE COMPANYs shall be required to certify within their proposal submissions that they meet the following minimum requirements. The purpose of this proposal is to obtain competitive pricing for a comprehensive cloud hosted recreation management system specific to parks and recreation that can meet the current requirements of the CITY’s Parks and Recreation Department and is capable of expansion to meet future needs. The software package must be certified to operate with the Windows 10, 11 or later client, and must be cloud based. Further, the software must function properly with both local and remote clients. The city wishes for there to be at least 25 concurrent Department administrators and at least 75 users with back-end access. Unlimited for both are preferred. Furthermore, the options to allow for multiple categorical work levels is preferred. (Example: An entry level worker would be a level 1 access, 1 year of work or more employees would be a level 2, and all others would be system admins with full access and rights in the software.) In addition to the required elements listed further below, bid proposals should include, but are not required to include the following components: • Service of transferring existing accounts and data from existing system to proposed system (preferred) • Ability to "Go Live" by January 1, 2025 (preferred) • Ability to transfer existing balances and credits in the existing system to the proposed system (preferred) • Technical support to City staff in transition process: both transferring accounts and data and in establishing new programs/systems (required)
