Specifications include, but are not limited to: A. Response to service calls 1. A service call is defined as any call the University makes to the Contractor to report a malfunction of any part, component, system, or sub-system, which has or had the potential to disrupt the operation of the door and hardware or personnel safety. These calls may be made during normal business hours. 2. The Contractor shall respond to calls and schedule a tech to confirm service availability to address the issue(s). Anticipated service level shall be within the times for types of service calls unless an alternate timeline has been agreed to. i. Standard calls: three (3) business days ii. Emergency calls: same day 3. After-hours work may be authorized in those cases where immediate repair is essential or where it is advantageous to complete the work in progress to avoid a return trip. B. Work Estimates / Pre-repair work 1. Upon arrival at each site, the Contractor shall evaluate the specific materials and labor required to complete the repair. i. Develop an estimate of the expected cost. 2. Advise the Point of Contact (“POC”) of the work to be performed and the estimated cost of repairs and obtain approval for additional work when the repair work is expected to exceed the original estimate by more than ten (10) percent. 3. Advise the POC if any additional work is required and when a mechanic will return to perform said work. 4. Prepare a service call report detailing the work performed and leave a copy of the report on site. The report shall include: i. Time of arrival ii. Time of departure iii. Brief summary of the request iv. Detailed summary of the work performed v. Summary of any additional work required or recommended 5. If complete repairs cannot be accomplished immediately, the door or gate shall be secured in the full-open or full-closed position at the discretion of the POC. C. Repairs 1. The Contractor shall replace worn, failed, and doubtful components and parts. Replacement parts, materials, and supplies provided during preventive maintenance or emergency services shall conform to the manufacturer’s part number for the particular equipment except in the event that the part number is superseded by a more recent one, the most recent shall be provided...
