Scope of Work: The Work will be performed in four (4) phases: Inspection and Inventory, Installation of Replacement Holiday Lighting, Installation of Seasonal Holiday Decorations, and Removal of Seasonal Holiday Lighting and Decorations. Phase 1. Inspection and Inventory of currently installed holiday lighting and electrical sources. 1. The City of Somerville DPW previously installed holiday lighting on approximately 300 trees throughout the City. The Vendor will inspect and test the existing lighting strings/sets and identify any and all problems with the existing lighting strings/sets or electrical sources. The City anticipates that there may be damaged lighting strings/sets on approximately 10% of lighted trees. 2. The Vendor will furnish an Inventory Report to the DPW Commissioner or Designee. The report will include, at a minimum, the following information: a. The location of each lighted tree and each electrical source. b. A list of any and all damaged lighting strings/sets on each tree, and a total count of damaged lighting strings/sets. c. A list of any and all damaged or non-functioning electrical sources, and a description of any necessary repairs to each electrical source. 3. The Vendor may begin the inspection and inventory phase upon contract award and issuance of an approved City of Somerville Purchase Order. 4. The Vendor is required to submit a complete inventory report to the DPW Commissioner or Designee no later than ten (10) days from the start of the inventory process. The DPW Commissioner or Designee will work directly with the Vendor to organize an inventory reporting process that meets the needs of the City to effectively and efficiently complete the holiday lighting project in a timely manner. a. The inspection and inventory phase of the project consists of: i. Testing the currently installed lighting and electrical sources. ii. Furnishing an inventory report. b. The Vendor is not responsible for any electrical repairs under the scope of work of this project. The City of Somerville will supply their own personnel or contractor to perform electrical repairs. The DPW Commissioner or Designee will notify the Vendor when electrical repairs are complete. c. The Vendor will not replace any lighting strings/sets during the Inspection and Inventory phase of the project. Phase 2. Installation of Replacement Holiday Lighting. 1. The Vendor will remove all non-functioning lighting strings/sets as identified during Phase 1. 2. The Vendor will replace ALL non-functioning lighting strings/sets with new LED C9 lighting strings/sets supplied by the City. Following installation of replacement lighting strings/sets, the Vendor will test the lighting on each tree and troubleshoot as needed to ensure that all lighting strings/sets are functioning properly. 3. Installation method of lighting strings/sets will match the existing installation method on each tree. If a tree needs to be completely re-lighted, the Vendor will install new lighting strings/sets in the Canopy method (strung in horizontal spirals) to minimize damage to the tree. 4. Lighting strings/sets will be fastened to the trees to prevent damage to the trees or lighting strings/sets separating or falling from the trees. Zip ties will be used as fasteners where required. The Vendor will not use tape or other adhesives to fasten lighting strings/sets to trees. 5. Installation of replacement holiday lighting will begin no earlier than Friday, November 1, 2024. Holiday lighting must be installed and fully functioning by Friday, November 22, 2024.
