Asset Lifecycle Management Each asset linked to the desired system will hold a variety of associated attributes. This profile within the system will hold installation details, maintenance history, and inspection data, among other details. Beyond a repository of relevant data, the Computerized Maintenance Management System (CMMS) will compile this data into a Condition Score, providing a high-level yet accurate evaluation for City engineers. The intuitive user interface of the selected system should allow an administrator to click on an asset and allow easy adjustment based on new data. All assets should be able to be located within the system's database, or through a visualization feature (utilizing the City's existing ESRI ArcGIS licenses). System administrators in Public Works will prefer a system that provides a birds-eye view of Decatur’s geographic layout with an accurate overlay of City assets and streamlined access to their underlying attributes, including Condition Score. An asset's history and cost of maintenance should inform the system's ability to forecast its useful life. Stakeholders seek performance curves to estimate its condition and inform preventative maintenance schedules. Resources associated with that asset, including labor, equipment, and materials, should be logged within its inventory entry - along with the ability to attach any relevant data and documents. Work Order Management All of the information in the CMMS should inform a dedicated work order workflow. Condition Score adjustments should prompt ticket development for City maintenance crews. Administrators would like to quickly assign work across vertical and horizontal City assets, create repetitive work orders, calculate associated labor & equipment costs, and roll-up work activities into cumulative project-level costs. To support this critical field work, Decatur stakeholders require strong mobile functionality from the selected vendor. This may include a dedicated Mobile App on common operating systems to edit existing assets and attributes, create new assets, attach images to an asset, or mark work as completed.
