Task 1 – Existing Conditions Investigations: 1. Review existing documentation provided by Owner; perform a detailed field investigation of the building systems, including all related mechanical, electrical, plumbing, structural and related architectural conditions to develop a thorough understanding of the existing conditions as they relate to the proposed scope of work. This investigation and subsequent analysis shall be used to make recommendations and present options for the project. 2. Meet with the Facilities Department and technical personnel for background information, repair history, problem areas and user needs. 3. Review existing as built and/or design drawings, reports, specifications and other documents provided by the School Department. 4. Review existing structural framing plans and confirm via field investigations to assess ability to support proposed new equipment. 5. Photographically document on site field investigations and document all pertinent information required to make recommendations and to generate accurate cost information. 6. Evaluate and audit key equipment and related systems, including all mechanical/electrical/plumbing equipment, piping, ductwork, controls and structural supports and roofing conditions. This work may require accessing mezzanines, rooftops and crawl spaces, some of which are considered confined spaces: 7. Using available existing drawings 8. Perform additional visual examination and testing as necessary to understand existing conditions 9. Collect nameplate information 10. Record the findings and state of functionality. 11. Indicate original life expectancy and estimated years left until replacement is needed. 12. Note accessibility issues for service and maintenance 13. Meet with the School Department and members of HEA to select the best option to proceed to schematic design.; 2. Designer shall provide the following schematic design level documentation, which shall include and incorporate the School Department’s comments: a. Drawings, concept sketches, and specifications. b. Building code analysis (if required). c. An environmental (acoustical and visual) assessment, if needed d. Preliminary life cycle cost analysis to assess overall building operation and maintenance. e. Summary of applicable public utility incentive programs. f. Schematic level Construction Cost Estimate for the design prepared by an independent professional cost estimator. g. Schematic Design Phase drawings and other submittals shall be subject to the written Approval of the School Department. Task 3 – Design Development/Construction Documents 1. Meet as necessary with the School Department, update and refine items submitted during the Schematic Design Phase, and submit on the basis of the Approved Schematic Design Phase documents: 2. Work with the School Department on a Project Schedule. 3. Information and documentation within the technical expertise of the Designer and its Consultants that is necessary for the School department to file any filings for Permits and approvals that must be filed during the design development phase. 4. Complete design development drawings, draft specifications indicating any filed sub-bid sections based on the Designer’s estimated cost of the work and other documents necessary to specify the size and character of the Project as to, structural, fire protection, plumbing, ERU, electrical, siting, architectural ADA/MAAB, product requirements, and other features, if needed. 5. Quality control documentation demonstrating without limitation coordination of specifications and drawings; filed sub-bid work or sections; scheduling; equipment and power; existing and new construction; and phasing. 6. Design development drawings for which the Designer shall submit for a “tentative approval” and review to the Office of the Superintendent of Schools. 7. Updated life cycle cost analysis if necessary 8. Updated professional cost estimate with 60% and 95% submittal only 9. Such drawings, specifications and other design development submittals shall be subject to the Approval of the School Department.
