The City is looking for a firm who can provide cloud-based RMS that meets the current and future needs of the City of Scotts Valley that offers a complete solution that can be customized. All such functionality modules must be included with the system at no additional cost to City. The information below represents required functional capabilities in the selected RMS. It is not all inclusive, other functionality may be recommended or added. At minimum, the firm shall demonstrate an ability, expertise, and experience in the following areas: A. Registrations, Reservations, Permits • Activity registrations & management: Online or in person registration including classes, events, and drop-ins. Shall be user-friendly and accessible on all computers, phones, and tablets. Shall be user-friendly, with logical steps in the end-user to set up activity registrations. The Software shall provide access for class instructors to view and print class rosters, email participants, and enter attendance online. It shall send automatic surveys requesting feedback after an activity or rental. • Facility reservations: Shall provide an intuitive solution for reserving facilities for events, meetings, programs, and maintenance. The Software’s function for facility reservation shall include user-friendly processes for payments, refunds, security deposits, waivers, and reports. • Membership management: Ability to create a variety of memberships; sell memberships, punch cards, key-fobs in-house or online; scan members in and out of facilities; as well as set recurring member billing and streamline payment for departments and citizens. The software should include digital or wallet memberships that may be shared digitally with or emailed to participants. The system should accommodate hardware to print cards and for scanning ID’s and membership cards 4 • Special events permitting: Customizable permits with ability to collect approval signatures • Instructor contracting: Customizable contracts with ability to collect approval signatures • Calendar Sync – Ability to export event information to end-user Outlook, iCal, Google calendars. • Mobile Friendly Utilize mobile scanning, ticketing, and rosters (classes, leagues, point of sale) • League Management – Ability to set-up registrations by team or individual, manage assessments, track game results, and auto-schedule games and tournaments
