I. AUCTIONEERING SERVICES. A. Pre-Auction Preparation. The City will designate each auction date and provide the Vendor with written notice of each auction date at least thirty (30) days in advance of established auction date. 1. Advertising. a) The Vendor shall pay for and provide sufficient advertising to ensure quality responsive bids by potential purchasers as part of a comprehensive marketing strategy for the advertisement of upcoming auctions (e.g. timelines, media, publications, etc.). b) The Vendor shall prepare a detailed brochure listing all vehicles scheduled for auction that includes, at a minimum, the following information for each vehicle: (1) vehicles’ year of manufacture, (2) vehicle’s color, (3) vehicle’s make and model, (4) Vehicles Identification Number (“VIN”), and (5) sale lot number. 2. Inventory and Cleaning. a) The Vendor shall complete physical inspection forms for each vehicle scheduled for auction in accordance with Title 32 and LAC 55 and submit a copy of these forms to the City at least one (1) day prior to the auction preview day. b) receipt/preparation of each list of vehicles to be auctioned the Vendor shall accompany a DPW employee to check and verify the individual VIN on each vehicle at least one (1) week prior to the auction preview day. c) The Vendor shall be responsible for clearly identifying each vehicle scheduled for auction prior to the auction preview day by tagging or marking the vehicle. d) The Vendor shall clean all vehicles scheduled for auction to ensure that they are safe and presentable to prospective buyers at least one (1) day prior to the auction preview day.
