The contractor shall provide extra-small, small, medium, large, and/or extra-large conference services for any state agency within the State of Missouri, in accordance with the provisions and requirements stated herein and to the sole satisfaction of the state agency. The contractor shall provide conference services for one or more of the following conference sizes for the regions and cities proposed on Exhibit D, Vendor Response to Conference Size and Region. Attachment 1 provides a region and county map of the State of Missouri. Extra-Small Conference – A conference with an estimated up to 100 attendees, with guest rooms required for requesting attendees. Small Conference – A conference with an estimated 101 to 200 attendees, with guest rooms required for requesting attendees. Medium Conference – A conference with an estimated 201 to 300 attendees, with guest rooms required for requesting attendees. Large Conference – A conference with an estimated 301 to 400 attendees, with guest rooms required for requesting attendees. Extra-Large Conference – A conference with an estimated 401 or more attendees, with guest rooms required for requesting attendees. At a minimum, the contractor shall provide the following: Single and Double Occupancy Guest Rooms; Meeting Rooms; Breakout Rooms; Registration Area; Equipment for use in the meeting rooms and/or registration area; Free Internet access in guest rooms, meeting rooms, and breakout rooms; Break and Social Refreshments; Meals; and Sufficient, safe, and convenient parking.
