1. OPEN STREETS EVENT COORDINATOR AND MANAGEMENT SERVICES Scope of Work As a contractor for the Open Streets event, our responsibilities will include, but are not limited to, the following areas: 1. Event Planning & Logistics o Develop a comprehensive event timeline, including setup, execution, and breakdown. o Coordinate with city officials, law enforcement, and emergency services to ensure a safe event. o Assist and provide insight with street street closures, barricades, and traffic control in accordance with City Of Bell guidelines. o Identify and coordinate Activation Hubs, hydration stations, and first aid stations along the route. o Assist in planning and setting up designated repair stations, and rest stops. 2. Community Engagement & Canvassing o Conduct outreach to local businesses, residents, and stakeholders to inform them about Open Streets Bell and gather support. o Organize and execute three canvassing dates: ▪ February 24, 2025 - Initial canvassing to notify businesses and residents about Open Streets Bell, May 4, 2025 ▪ March 31. 2025 - Follow-up visit to provide additional information, flyers and address concerns. ▪ April 14, 2025 - Final canvassing to confirm logistics and distribute event materials. 3. Vendor & Partner Coordination o Assist City of Bell with recruiting vendors, food trucks, and activity organizers to enhance event experience. o Help Coordinate with sponsors and community partners to maximize engagement and visibility. D. Marketing & Public Relations o Work in conjunction with City of Bell Community Service Department on flyer content and distribution o Assist in promoting the event through social media and printed materials. o Work with local media to generate pre-event coverage and post-event press releases. o Assist to Develop and distribute flyers, posters, and promotional materials. S. Staffing & Volunteer Management • Recruit and train volunteers for canvassing and outreach as well as event-day responsibilities, including setup, teardown, and participant support. • Coordinate with City Of Bell and local volunteer groups that can help day of event. 6. On-Site Event Management o Oversee the full execution of the event to ensure it runs smoothly and efficiently. o Serve as one of the primary point of contact for City Of Bell, vendors, and volunteers. o Troubleshoot any operational challenges in real-time
