Upon notice to proceed, the Firm will take on project management responsibility for overseeing activities related to this scope of work and working closely with RIPTA and its strategic partners (The “State Team”) on overall project administration. The State Team will also oversee the Firm’s activities related to this scope of work. These activities will include, but are not limited to, the organization, facilitation, and documentation of all project meetings; managing and directing Firm members and any subconsultants; providing regular progress reports; general administration such as invoicing; the establishment and upkeep of a SharePoint site; and ensuring that tasks and deliverables are completed on time, on budget, and within scope. Assigned State Team members will constitute the Project Oversight Committee (henceforth referred to as the POC). The Firm is expected to meet with the POC on at least a monthly basis. Meetings with the POC will be used to review project status, discuss pressing matters of concern, and determine action steps to be taken by either party. A project kickoff meeting will be organized by the Firm and shall take place within ten (10) business days of notice to proceed. Prior to this meeting, a preliminary project management plan and schedule will be developed and submitted to the POC for review. The project management plan will serve as the guide for all aspects associated with the management of the study. The kickoff meeting’s agenda will include: 1. Discuss project scope, goals, objectives, and analysis expectations 2. Discuss work plan, milestones, and schedule and refine as appropriate 3. Determine communication protocols and document control processes 4. Discuss Quality Assurance/Quality Control processes 5. Address relevant documentation, maps, datasets, and other materials needed for the project 6. Identify stakeholders for the project 7. Discuss technical and/or advisory committee format (if needed)
