B. SCOPE OF WORK The Provider’s System should, at a minimum, provide the following features: 1. Web-Based Software that will allow up to 150 users to view and reserve workstations and other identified shared spaces quickly and easily. 2. Dedicated tool that offers streamlined, user-friendly applications accessible on laptops, tablets and other mobile devices, including smart phones. that will allow users to easily add, modify and/or cancel a reservation. 3. Application should be able to integrate with Microsoft Teams, Outlook and support Single Sign On utilizing Azure Entra ID. 4. User-friendly interface including ability to view multiple floor plans, ability to define spatial zones such as “quiet zones”, neighborhoods, and users to view available and previously reserved spaces (and who reserved). 5. Additional user capabilities including, but not be limited to: a. Flexibility to define system parameters such as ability to reserve multiple spaces per day, number of days in advance, book by full day or by the hour, restrict certain spaces to specified users. b. Support a day of check-in process to release un-used spaces c. Generate confirmation emails d. Additional Administration capabilities such as the ability to develop hierarchy based on MSBA policy and/or acting on other behalf. e. Additional software features and functionalities listed in the Attachment F, MSBA Desired Features, Functionalities and Capabilities Chart. 6. Reporting capabilities to view/track utilization rates by space, and other reporting as deemed appropriate. 7. Ability to provide documentation of audited controls and best practices. 8. Implementation Plan which provides configuration, documentation and training. 9. Unlimited product upgrades. 10. Unlimited online training for new and existing users and related to new product updates. 11. Unlimited access to 24/7/365 customer support desk. 12. Additional features that would enhance the overall tool and platform.
