1. General Scope The General Scope of the work outlined in this Proposal is to migrate data from CAO’s current Practice Manager software into a new cloud-based solution that improves efficiency, enhances user experience, and meets the evolving needs of the CAO. a. Technical and Required Services The Technical and Required Services outlined in this Proposal required the automation and streamlining of legal processes to reduce manual efforts and improve case handling efficiency. The Technical and Business Needs are listed specifically in the Attachments Technical Needs.xlsx and Business Needs.xlsx. b. Work Performed by The City City staff shall make available sufficient hours of staff personnel as is required to meet with the Contractor and provide such information as required. The City has assigned a project manager who will oversee the work and provide support as needed, including: i. Assisting with integrating the new system with various City systems or data repositories, such as Microsoft Outlook, Microsoft 365, and other document management or case management systems, as determined by the City team. ii. Assisting with configuring the new system according to the CAO’s Business Needs. iii. Preparing the data currently stored in PM into a usable format for migration and integration into the new system. iv. Contributing to issue tracking logs to help mitigate risk and problems. v. Contributing to project change management and control documentation. vi. Coordinating user training of the new system.
