PREVENTATIVE MAINTENANCE SERVICE The contract shall include preventative maintenance service and inspections, including repairs of the systems, which use natural gas, gasoline, or diesel fuel, and are listed under Section 2.2 of this document. Examples of the types of required work include but shall not be limited to: That detailed in sections 2.0-2 and 2.3 of this document. Defective/damaged parts replacement. Record-keeping and completion and submittals of service reports for each system. The Contractor shall perform service inspections and preventive maintenance on each system in accordance with the equipment manufacturer’s recommended maintenance procedures. The Contractor shall notify the University at least one (1) week prior to commencing any inspection or preventive maintenance work. The preventive maintenance service shall occur at regular intervals, on a semiannual basis, as per Section 2.3. Upon completion of each service inspection, the Contractor’s Representative shall submit a copy of the respective inspection notes, for each system, to the University’s Representative. Detail the operational status of the respective system under “Service Representative’s Evaluation Overall Performance.” Date and sign the inspection notes. During 1st inspection period, the Contractor shall remove an engine oil sample, fuel sample, coolant sample from each unit and shall provide a test analysis report for such, to the University Representative. Said sample analysis shall be performed by a University approved lubricant testing firm which is unaffiliated with the contractor and which is recognized by and can meet all Federal and State regulations, regarding said sample analysis. Said sample removal and analysis shall be at no additional cost to the University. Each sample analysis report shall show the levels of wear metals, contaminant metals, additive metals, non-metallic contaminants, lube fluids, water, hydrocarbon, oxide, nitrate, glycerol, and any other elements which may cause engine wear. Each report shall show the location of unit, test date and comments/recommendations of the testing facility. The preventative maintenance service shall include labor, materials, tune-ups, repairing, lubricating, adjusting, calibrating, cleaning, painting for preservation, and complete checking, testing, and inspection of each unit, including any attached or remote components/appurtenances. The Contractor shall notify the University Representative and shall take immediate corrective action to eliminate discrepancies found during any inspection or preventative maintenance service work. Any additional cost to the University shall be subject to the approval of the University Representative. All gaskets, removed during the performance of any work under this document, shall be replaced at no additional charge, with new materials, properly designed for the application. Any system parts, broken or damaged during the performance of any work under the contract, shall be replaced by the Contractor, at no additional cost to the University.
