A. Develop a complete show creative and execution plan to HVZ staff for review and discussion. Schedule a meeting to finalize all designs and implementations. A final show execution should be accepted and approved prior to August 15, of each calendar year. B. Provide onsite staffing to troubleshoot any potential issues for the first (2) TWO nights of show run. C. Provide service to any non-functioning show elements within 12 hours of notice. Examples include malfunctioning lights and displays. D. Removal of lights and displays must begin within 2 weeks of the conclusion of the event and not exceed 30 days (inclement weather exceptions). E. Complete an after-action meeting following the event to determine feasibilities and expectations for the upcoming year. This will take place by March 1 each year. F. Vendor should provide event layout that includes design, timelines, installation and removal. Reports should be provided to client as requested. G. Vendor will attend one onsite visit with HVZ’s marketing team no later than August 15 each year to meet and discuss promotional opportunities.
