A. Production 1. Contractor will produce all assets for the CSC RMP according to the details and exceptions noted below. 2. Contractor will meet with SCDA annually and prior to production of assets to review design, quantities and overall production plans. 3. Assets to be Produced – See details in the attachment “2023 Retail Merchandising Materials Booklet” and the “Additional Assets” section of the attachment “2024 Retail Merchandising Asset Production Quantities.” 4. Quantity of Assets – The quantity of each asset to be produced will vary from year to year depending on existing inventory and customer demand. For the purpose of responding to this solicitation, bids must be based on actual production of items in 2024 and detailed in the attachment “2024 Retail Merchandising Asset Production Quantities.” 5. Development of new assets – Based on information and experience obtained during the course of work, Contractor will provide SCDA with feedback and suggestions for new assets and changes to existing assets. 6. Creative Design – All creative artwork and design, including print-ready files, will be provided to Contractor by SCDA. In the event Contractor produces any artwork or design, it must be approved by the SCDA prior to production. Contractor must submit proofs of all assets to SCDA for approval prior to final production and use, unless proof approval is waived by SCDA. B. Storage of materials 1. SCDA will provide Contractor with approximately 200 square feet of storage space to be used for storing CSC RMP assets. Space will be located at the SC State Farmer’s Market in West Columbia, SC. Contractor will keep items in SCDA-provided storage space organized and will discard any trash, empty boxes, or other unnecessary items. A temporary key will be provided to storage area for Contractor access. 2. The Contractor is responsible for acquiring and maintaining any necessary, additional storage space. 3. The Contractor shall keep an accurate, running inventory of all assets in all locations and report inventory to SCDA as needed and as requested by SCDA. C. Distribution of materials 1. Distribution of assets will begin on April 1 and end on June 1 of each year of the contract (2025, 2026 and 2027). 2. SCDA will provide the Spring 2024 distribution list to the Contractor. 3. The Contractor will update the list before distribution begins by identifying, adding, and removing any known new or closed establishments. 4. The Contractor will meet with SCDA annually and prior to distribution of materials to review distribution list and Contractor’s plans for distribution and placement. 5. The Contractor must ensure all necessary assets are personally delivered to each establishment on the distribution list. Shipping of assets is not allowed unless approved by SCDA.
