Specifications include, but are not limited to: Orders Pool vendors are not guaranteed any minimum orders or quantities. Orders will be placed on an as needed basis by the requesting Texas A&M entity. Upon request, services shall be provided at requested dates/times throughout the term of the agreement. Events may be held during regular business hours and/or weekends and evenings. Exact dates, times, and details shall be coordinated between vendor and the ordering department. The following is a sample listing of various events hosted on the Texas A&M campus that may be requested throughout the term of the Agreement. Note that this listing is non exhaustive and other types of events may be requested: Plated meal with formal china, crystal, silver flatware, and formal serving staff. Buffet style meal with either informal with mock china or disposable dinnerware and serving staff. Casual lunches and breakfasts; boxed lunches, etc. Provision of Services (as applicable to the event type): The Caterer shall coordinate with the ordering department for the applicable event. Planning and coordination shall be documented in writing to show clear agreeance by both parties. The Caterer shall provide adequate supervision and oversight of their staff during catered events to ensure compliance with all relevant policies, procedures, and regulations. The Caterer shall maintain confidentiality and protect the privacy of Texas A&M and its event attendees, including the handling of sensitive information or any proprietary or confidential materials. Unless instructed otherwise, the Caterer shall be prepared and completely set-up at least 30 minutes before the scheduled catered event time. Unless instructed otherwise, the Caterer shall be responsible for providing adequate equipment and personnel to ensure proper cleaning of the catered event areas used. Breakdown and clean up shall be completed within 30 minutes of the event end time. The Caterer shall remove all trash from the event facility and leave the premises in at least as clean a condition as it was prior to the catered event. Compliance with parking and security regulations of the facilities is mandatory for the Caterer and its employees at all times. The Caterer shall promptly address any complaints or concerns raised by Texas A&M or event attendees regarding the provision of catering services and shall take appropriate actions for resolution.
