Specifications include, but are not limited to: Provide operation support for the Print Shop to manage printing and copying for all campuses and facilities across the district. Functions include but are not limited to the following: 1. Printing Capacity and Turnaround Time: - The print shop will handle about 80 million black and white impressions per year, covering approximately 100,000 plus orders annually, with turnaround times of approximately 2 days for small jobs, 3-5 days for medium jobs, and 5+ days for large jobs. - Additionally, the print shop will manage about 10 million color impressions per year, encompassing approximately 10,000 orders annually, with similar turnaround times as specified for black and white jobs. 2. Service Offerings: - The print shop will provide comprehensive graphic design, printing, finishing, and binding services for various products, including but not limited to business cards, forms, brochures, booklets, posters, signs, and banners. Graphic designers should have the ability to handle pre-production layout as well as design creation, and illustrations. - The district's needs will be met by a maximum of three (3) graphic designers, capable of handling preproduction layout, design creation, and illustrations. 3. Innovations and Cost Efficiencies: - The print shop commits to introducing innovations aimed at enhancing cost efficiencies through the utilization of effective technology and processes, with a focus on reducing costs and turnaround times. 4. Operational Schedule: - Under normal operational conditions, the print shop will operate 1-2 shifts per day, 5 days a week, with preference given to one-shift operation per day, 5 days a week. 5. Quality Assurance: - The print shop will maintain a consistent standard of high-quality output. 6. Print Job Handling: - The print shop will prepare and stage print jobs for delivery to the campus. 7. Personnel Training: - Ongoing training and cross-training will be provided to print shop personnel to maximize efficiency. 8. Equipment Orientation and Training: - The print shop will provide orientation and training on new equipment installations as needed by district staff. 9. Software Administration: - The print shop will administer current software for order entry and billing, utilizing Market Direct Store Front from ePS for order entry and EFI Pace from ePS for print workflow and billing. 10. Data Analysis, Reporting Performance Metrics: - The awarded vendor will provide data analysis and reporting on production operations as required by the district, including specific performance metrics, reporting requirements, mechanisms for addressing performance issues, monitoring, escalation procedures, corrective action plans, communication channels, performance review, and key performance indicators (KPIs). 11. Courier Services: - The district will provide courier services for the print shop. Print shop personnel will organize and stage print shop jobs for pick-up and delivery by district distribution. 12. Issue Resolution Processes: - The awarded vendor, in conjunction with Katy ISD, will outline steps for escalation, communication channels, and timelines for resolving any disputes or issues that may arise between the district and the print shop vendor. 13. Transition Plan for Staff and Katy ISD Processes: - Onboarding and transition responsibilities and processes, timelines, communication protocols, and training plans will be outlined to ensure seamless transition with the awarded vendor. 14. Confidentiality and Data Security: - The print shop will implement measures to safeguard any sensitive information handled, ensuring confidentiality and data security. The awarded vendor agrees to protect Katy ISD from claims involving infringements of patents and/or copyrights.
