Specifications include, but are not limited to: • Meet with Risk, the insured State entity that sustained the loss, and all vendors performing the work to inspect the loss, document damages, and consult on mitigation and rebuild plan moving forward. This meeting should take place within the first few days after the loss is reported to Risk. • Create an initial report capturing initial damage information including photos depicting the damage sustained. This should be completed within two weeks after the initial meeting. • The Contractor will review all mitigation and rebuild invoices and will produce a summary of each detailing what can be substantiated based on the information received. This will be ongoing at various times throughout the life of the claim whenever invoices are received. • The Contractor will produce a Request for Information letter to be sent to vendors and the insured State entity to obtain information needed for items from estimates that cannot be substantiated due to insufficient information. This will be ongoing at various times throughout the life of the claim whenever invoices are received. The Contractor will be involved at some level throughout the entire life of the claim. Most claims are concluded within one year of the date of loss, but some complicated claims can extend to multiple years depending on the level of damages and rebuild time.
