Specifications include, but are not limited to: • VENUE MANAGEMENT (pre-conference and onsite support) for all conference events and activities, including general sessions, breakouts, exhibit hall, miscellaneous meetings, and other special events related to the conference. o Venue Setup Coordinate final venue orders and diagrams with ULCT and venue staff. Confirm room setups match orders prior to the start of each event and troubleshoot any problems. Coordinate with any supplemental vendors required by the venue to operate conference events. o Signage Coordinate signage requirements, design, orders, and placement with ULCT and venue staff. o Exhibit Hall Confirm exhibit hall design, order, and setup in coordination with the ULCT and venue staff. Setup necessary VIP Booths and Standard Exhibitor Booths and monitor needs of all VIPs and Exhibitors. • VIP Booths should be an upgraded booth style • Example of Standard Exhibitor Booths: o 10’ Pipe & Drape o 6’ table with 2 chairs o Wastebasket o Printed Hanging Sign with Company Name (no logo) • Example of VIP Booth Needs: o 10’ Pipe & Drape (grey/white velour) o 3’ Pipe & Drape (white) o 4’ Counter with storage and custom vendor logo o Upgraded counter height seating o Trash can with liner o Drayage Service Coordinate final details and orders with exhibitors prior to conference arrival. Confirm onsite setup matches order and troubleshoot any problems with exhibitors and/or vendors. o Audio/Visual Design and create an intricate, custom stage design for the General Session room. Provide appropriate crew (examples listed below) to successfully run audio/visual for the duration of the event.
