Specifications include, but are not limited to: To host the 2024 Division of Child Support Enforcement Statewide Conference, the following requirements must be satisfied (1) the facility must be capable of accommodating up to 130 attendees. (2) The conference site must be close to nearby, walkable, locations for attendees to have dinner and congregate after the general sessions are completed each day. (3) The services provided by the facility should be able to support all needs of the conference, including but are not limited to, audiovisual, seating arrangements, lodging, and catering options. In your proposal submission, please address the following: A. Lodging Accommodations The facility shall have lodging for conference attendees as indicated below in singles, doubles, or other combinations in contiguous buildings. Elevator access is required to all sleeping rooms. The rate charged for these rooms for state and local municipality employees must be at the prevailing state per diem rate excluding taxes and approved surcharges. The room rate charged for other conference attendees should be competitive with local market rates for comparable facilities. 1. VDSS strongly prefers that all conference lodging rooms are located within the Offeror’s facility. If Offeror’s facility cannot accommodate the number of lodging sleeping rooms, the Offeror must indicate what “overflow” lodging accommodations are available and provide VDSS with contact information for the overflow facilities. 2. If the Offeror has a restaurant and lounge, the proximity of each shall be far enough from the sleeping rooms to allow the areas near sleeping rooms to be quiet during the evening hours.
