The Contractor shall prepare, deliver and serve two meals during the career fair. Breakfast shall consist of donuts and coffee for approximately 200 persons. Lunch shall consist of approximately 1700 box/bag lunches (No Hard Plastic Food Containers) for high school students, and adults attending the annual Transportation Career Fair to be held at the CrystalView Wedding & Event Center, 12025 Lee Jackson Memorial Hwy, Fairfax, VA on October 29, 2024. The event will be held rain or shine. A. BREAKFAST: Donuts and regular coffee shall be furnished by the Contractor and shall be delivered and set up at event site no later than 7:00 a.m. on October 29, 2024. 1. Regular Coffee: The Contractor shall supply hot and fresh coffee no later than 7:00 am on the day of the event at site determined by VDOT. • One (1) cup per person for an estimated 200 standard serving size. • Contractor shall supply a minimum of 3 coffee urns/pots. 2. Donuts: The Contractor shall supply and deliver 200 fresh assorted donuts. It is preferred that the donuts be individually wrapped. However, if the donuts are provided from a box, it is the Contractor’s responsibility to comply with the Health Regulations. At a minimum, the contractor shall supply an assortment or a combination of glazed, chocolate covered, and cake donuts. • Indicate source of the donuts with bid submission, Attachment A. • Donuts shall be displayed in an orderly fashion at event serving site to allow guests to help themselves 3. Unit bid price: Per person for Breakfast shall include: • Coffee, standard serving size • Individual packet availability of powdered non-dairy creamer, sugar, and sugar substitute (example: pink, blue, or yellow packet brand name or equivalent) • Disposable cups and fitted lids • Disposable hot beverage stirrers • Paper napkins • One (1) donut– donuts shall not contain nuts or nut by-products. • All labor, transportation, supplies, equipment, and any other necessary materials required to provide the service. B. LUNCH: The Contractor shall supply an estimated 1,700 individual bag/box lunches in disposal containers, capable of holding the lunch items together, keeping the food cold and fresh until ready to serve. Disposable containers shall be easily crushable to limit trash receptacle volume. NO Hard Plastic Food Containers shall be used. The Contractor shall provide and deliver bag/box lunches to event site no later than 9:00 a.m. on October 29, 2024. Contractor shall be prepared to serve the bag/box lunches to the first arriving groups by 10:30 a.m. 1. Turkey Subs: 1500 each - Six (6) inch “Hoagie” style cold sandwiches on white roll. To include minimum of: • 4 oz sliced turkey breast • 3 oz (2 slices of cheese) American or provolone • Lettuce to cover sub roll • 2 slices of tomato 2. Vegetarian Subs: 200 each - Six (6) inch “Hoagie” style cold sandwiches on white roll. To include minimum of: • 3 oz (3 slices of cheese) American or provolone • 3 oz assorted vegetarian ingredients to cover sub roll, excluding lettuce and tomato. Bidder shall indicate what will be included on the sandwich as a representative example of “assorted vegetarian ingredients”. • lettuce to cover sub roll • 2 slices tomato • Onions to cover sub roll 3. Unit bid price: Per person for bagged or boxed Lunch shall include: • One (1) “Hoagie” style cold Sandwich • One (1) factory-sealed bag of potato chips, minimum of .08 ounces • One (1) factory-sealed bag of sliced apples or bag of carrots, minimum of 2 ounces • One (1) wrapped/sealed large cookie or brownie, standard individual serving size – contents shall not contain nuts or nut by-products. • One (1) factory-sealed bottled water, minimum 16.9 oz volume • One (1) yellow mustard, individual serving size packet • One (1) mayonnaise, individual serving size packet • One (1) black pepper, individual serving size packet • Paper napkin All labor, transportation, supplies, equipment, and any other necessary materials required to provide the service.
